How to Create an Event

Creating an event on Fotify takes less than a minute. Once created, you'll get a unique QR code that guests can scan to upload photos directly to your event gallery.

Starting the Event Creation

There are two ways to create a new event from your dashboard:

  1. Click the "New Event" button in the top right corner
  2. Or click "Create New Event" in the Quick Actions section

Both options will take you to the plan selection screen.

Step 1: Choose Your Plan

Select the plan that best fits your event needs:

Free Event

Perfect for trying out Fotify or small gatherings.

  • Up to 50 photos
  • 7-day event duration
  • 7-day gallery access
  • Up to 20 invitations
  • Unlimited guests

Photo Gallery (120 Credits - $29.99)

Ideal for photo sharing at any event.

  • Unlimited photos

Premium Event (200 Credits - $49.99)

Complete event management for weddings and special occasions.

Tip: Your event duration countdown only starts when you activate the event, not when you purchase. You can set everything up in advance!

Click "Select Plan" to continue.

Step 2: Give Your Event a Name

Enter a name for your event (up to 25 characters). This name will be displayed to your guests when they upload photos.

Examples:

  • "Sarah & Tom's Wedding"
  • "Summer Beach Party"
  • "Company Holiday 2025"

Click "Continue" to proceed.

Step 3: Add Event Details (Optional)

All fields in this step are optional - you can always add them later from your event settings.

  • Description: Add a brief description of your event (up to 150 characters)
  • Event Photo: Upload a cover photo for your event (max 20MB). Drag and drop or click to select.
  • Location: Add the venue or location (up to 40 characters), e.g., "Central Park, New York"
  • Event Date: Select the month, day, year, and time of your event. Use the quick "Today" or "Tomorrow" buttons for convenience.

Click "Skip this step" if you want to add these details later, or fill them in and click "Continue".

Step 4: Choose Photo Moderation Settings

Select how uploaded photos will be handled:

Auto Approve

All photos and videos are automatically approved and visible to guests immediately. Best for trusted groups where you want instant sharing.

Manual Approval

Review and approve each photo and video before it becomes visible to guests. Recommended if you want full control over what appears in your gallery.

AI Moderation (Paid Events Only)

AI-powered photo filtering automatically detects and filters inappropriate content. Available with Photo Gallery and Premium Event plans.

Click "Create Event" to finish.

What's Next?

After creating your event, you'll be taken to your event dashboard where you can:

Starting Your Event

Important: After creating an event, you need to start it before guests can upload photos. Until you start the event, it remains in "Upcoming" status and photo uploads are disabled.

How to Start Your Event

  1. Go to your Events page from the sidebar
  2. Find your event card showing the "Upcoming" status badge
  3. Click the green "Start" button in the Event Controls section

Once started, your event status changes to "Live" and guests can begin uploading photos immediately.

Event Status Badges

  • Upcoming (blue): Event is created but not yet started. Guests cannot upload photos.
  • Live (green): Event is active and accepting photo uploads. Shows remaining days in your event duration.

Event Controls

The Event Controls section on your event card lets you manage your event's lifecycle.

For Upcoming Events

  • Start: Activate your event to allow guest photo uploads. This begins your event duration countdown.
  • Edit: Modify event details like name, description, date, and settings.

For Live Events

  • Pause: Temporarily pause photo uploads while keeping the event active. Useful if you need to review content or take a break.
  • Stop: End your event permanently. Guests will no longer be able to upload new photos. Your existing photos remain accessible during the gallery access period.
  • Edit: Modify event details and settings.

Remaining Days

When your event is live, you'll see a "Remaining days" badge showing how many days are left in your event duration. Plan accordingly to capture all your event memories!

Q: Can I change my event details after creating it? A: Yes, you can edit your event name, description, photo, and all settings anytime from your event dashboard.

Q: When does my event duration start counting? A: The countdown only begins when you activate your event, not when you create it. You can prepare everything in advance.

Q: Can I upgrade my plan after creating a free event? A: No, you cannot upgrade an existing event's plan. If you need more features, you'll need to create a new event with a paid plan. Your photos can be downloaded and re-uploaded to the new event.

Q: Can I restart an event after stopping it? A: No, stopping an event is permanent. Once stopped, guests cannot upload new photos. Make sure you're ready to end your event before clicking Stop.

Q: Does pausing my event extend the event duration? A: No, the event duration countdown continues even when paused. Pausing only temporarily disables new uploads.

Q: What's the difference between pausing and stopping an event? A: Pausing is temporary - you can resume uploads anytime. Stopping is permanent - the event ends and no more photos can be uploaded. Use pause for breaks during your event; use stop when your event is completely finished.
