How Guests Upload Photos to Your Event

When guests scan your event's QR code or open the upload link, they can instantly share photos from the celebration. No app download or account creation required - it works directly in the phone's browser.

This guide explains the guest upload experience and the options available to them.

Step 1: Getting the Upload Link to Guests

As the event organizer, you need to share your upload link with guests:

  1. Go to your event dashboard and click "Photos" in the sidebar
  2. Click "QR Code" in the Actions section
  3. Share the QR code or link with guests using any of these methods:
    • Copy link - Share via text, email, or social media
• Share link - Use your device's native sharing options
    • Print QR Code - Display at tables, entrance, or photo stations

For more details on sharing options, see How to Get Your Event QR Code.

Step 2: The Guest Upload Experience

When guests scan the QR code or tap the link, they're taken to your event's upload page. Here's what they'll see:

Event Branding

The upload page displays your event name, logo, and any custom branding you've configured. This helps guests confirm they're uploading to the right event.

Photo Selection Options

Guests have two ways to add photos:

  • Take Photo - Opens the phone's camera to capture a new photo
  • From Gallery - Select existing photos from the phone's camera roll

Guests can select multiple photos at a time for upload (the maximum depends on your plan). A counter shows how many photos are selected.

Step 3: Choosing Upload Quality

Before uploading, guests can choose between two quality options:

Optimized (Default)

  • Compressed for faster upload
  • Uses less mobile data
  • Ideal for quick sharing during events with many guests

Full HD

  • Maximum quality at original resolution
  • Preserves all photo details
  • Best for professional-looking photos

Note: Full HD upload is only available on paid plans (Photo Gallery and Premium Event). Events on the Free plan use Optimized quality automatically.

Step 4: Adding Author Name and Message

Guests can personalize their uploads with optional information:

Author Name (Optional)

  • Up to 50 characters
  • Helps organizers identify who took each photo
  • Shows in the photo gallery for easy recognition

Message (Optional)

  • Up to 200 characters
  • Add a caption, well-wishes, or memory description
  • Great for adding context or congratulations

Both fields are optional - guests can upload photos without entering any information.

Custom Form Fields

Event organizers can add custom form fields to collect additional information like:

  • Email addresses (to share the album later)
  • Table/group numbers
  • How guests know the hosts
  • Contest entries or feedback

If the organizer has enabled a custom form, guests will see these fields on the upload page. Some forms may be required before uploading photos.

For more details on custom forms, see How to Create Custom Upload Forms.

Step 5: Completing the Upload

Once photos are selected and options are set:

  1. Tap the "Upload X Photos" button
  2. Wait for the upload progress to complete
  3. See a success confirmation when done

Uploaded photos appear in your event gallery and can be featured on the live carousel if enabled.

Frequently Asked Questions

Q: Do guests need to download an app? A: No! The upload page works directly in any mobile browser. Guests simply scan the QR code and they're ready to upload.

Q: Do guests need to create an account? A: No account needed. The upload process is completely anonymous unless guests choose to add their name.

Q: How many photos can a guest upload at once? A: The number of photos per upload depends on your event plan. Guests can make multiple uploads if they have more photos to share.

Q: What's the difference between Optimized and Full HD? A: Optimized compresses photos for faster upload and less data usage. Full HD preserves the original photo quality and resolution. Full HD is only available on paid plans.

Q: Can guests upload from their camera roll or only take new photos? A: Both! Guests can tap "Take Photo" to capture new moments or "From Gallery" to share photos they've already taken.

Q: What happens after a guest uploads photos? A: Photos go directly to your event gallery. If you have moderation enabled, they'll be reviewed first. Otherwise, they appear immediately and can show up on the live carousel.

Q: Can guests upload videos? A: Video uploads are only available on Premium Event plans. Videos can be up to 30 seconds and 80 MB.

Q: What file formats can guests upload? A: Common image formats including JPG, PNG, and HEIC (iPhone photos). The system handles format conversion automatically.

Q: Is there a file size limit? A: Yes, up to 50 MB per photo (or 100 megapixels). Most phone photos are well within these limits.

Q: Do photos upload in the background? A: Guests should keep the browser open during upload. Closing the browser may interrupt the upload process.

Q: Can guests see other uploaded photos? A: The upload link is just for uploading. To let guests view the gallery, share a separate viewing link.

Q: What if the upload fails? A: Guests can try again - simply reselect the photos and tap upload. Poor internet connection is the most common cause of failed uploads.

Q: Can guests delete photos they uploaded? A: Only the event organizer can manage photos in the gallery. Guests who need a photo removed should contact the organizer.

Q: Does it work on all phones? A: Yes! The upload page works on iPhone, Android, and any modern smartphone browser.
