How to Design a Printable QR Code Sign, Table Card or Poster
A plain black-and-white QR code works, but guests scan the sign that catches their eye. The QR Code & Sign Designer turns your Fotify QR code into a finished piece ready to print: a table card for every table, a welcome sign at the entrance, an A4 poster by the photo booth, or a story for Instagram and the TV screens at the venue.
Pick one of 12 templates, add your names and date, style the code itself, and download or print it. Everything happens in your browser, it's included with every plan, and you don't need Canva or a designer.
Step 1: Open the Designer
You can open it from three places:
- Tools → QR Code & Sign Designer, in the sidebar of your dashboard
- Design a printable sign in your event's QR code window (Photos → QR Code), which fills in your guest upload link and your event's name for you
- Design a printable QR under each permanent link on the Tools page, the RSVP registration link QR window and the Echoes share card
The editor has three parts: the menu on the left, the options of the section you picked in the middle, and a live preview of your design on the right. Every change shows up in the preview instantly.
Step 2: Pick a Template
Open Templates and click any design: photo garland, elegant arch, botanical, black & gold, confetti party, neon night, modern split, blush, minimal, birthday pop, festive and rustic kraft.
A template changes the colors, fonts, decoration and QR style together. It never changes your words, so you can try them all after writing your text. Not sure? Click Surprise me for a random combination.
Step 3: Choose What the Code Opens
Open Link. Under Your Fotify links you'll find, one click away:
- Permanent upload and album links: they never need reprinting, because you can point them at a different event later from the Tools page. The best choice for anything you print in bulk
- Guest upload page of each live or upcoming event
You can also paste any link, or make a code for Wi-Fi (guests join your network without typing the password), plain text, an email, a phone number or an SMS.
Until you add a link, the preview says Preview: add your link, and downloading takes you back here first, so you never print a sample code by mistake.
Step 4: Add Your Text
Open Text and fill in any of the five lines: a small heading (e.g. "Welcome to the wedding of"), the headline (your names), the date or place, a message (e.g. "Scan to share your photos and videos with us") and a footer for your hashtag. Leave a line empty to hide it.
- Fill from an event sets the headline and date from one of your events in one click
- Pick a headline font and a text font from 12 options, from calligraphy to bold display letters
- Change the text and accent colors
Long headlines and messages wrap onto balanced lines and shrink to fit, so nothing runs off the card.
Step 5: Style the Background
Open Background to choose the decoration around your text: minimal, arch, leaves, confetti, frame, split, neon, photo garland or shapes. Set the background color and the decoration color.
You can also add a background photo, such as the couple or the venue. Use Photo fade to blend it into the background color so the text stays easy to read.
Step 6: Choose the Size
Open Size and pick a format:
| Format | Size | Best for |
|---|---|---|
| Table card | 4 × 6 in | Tables, the guestbook, the photo booth |
| A5 sign | 148 × 210 mm | Bars, buffets, small easels |
| A4 poster | 210 × 297 mm | Entrance, welcome sign, noticeboards |
| Square | Instagram post | Social media |
| Story | 9:16 | Instagram stories, TV screens and projectors |
| QR only | The code alone | Stickers, or placing the code in your own design |
Use QR code size to make the code bigger or smaller on the page, and turn on White card behind the code when the background is dark or busy.
Step 7: Style the QR Code
- QR style → Shapes: 10 patterns (square, fluid, dots, classy, mosaic, diamond, hearts, sparkle, vertical, horizontal) and separate shapes for the three corner squares
- QR style → Colors: ready-made palettes, a solid color or a gradient, the code's background, and an accent color for the corners
- QR label: a call to action right on the code, like a "Scan me" banner, a speech bubble, a polaroid or a ticket, with suggestions such as "Share your photos" or "Scan to RSVP"
- Logo: an icon (camera, heart, rings, cake and more), your initials, or your own logo uploaded as an image. The modules behind it are cleared and the code switches to its highest error correction, so it still scans
Step 8: Check That It Scans
Below the preview, a badge tells you how likely the code is to scan: Scans great, Should scan or Might not scan, with the reason when there is one. It warns you when:
- The code and its background are too close in color
- The code is lighter than its background (many phone cameras struggle with light-on-dark codes)
- The blank margin around the code is too thin
- The logo covers too much of the code
Whatever the badge says, scan the design with a couple of different phones before you print a batch.
Step 9: Download or Print
Click Download at the top right:
- PNG, print quality: 300 dpi for paper formats, for print shops and home printers
- PNG, standard: a lighter file for screens, messages and email
- SVG, vector: sharp at any size; opens in Canva, Illustrator and at print shops
- Print or save as PDF: prints at real size. Table cards come two per A4 or Letter sheet with cut lines; A5 signs are centered on a sheet with cut lines; A4 posters fill the page. With QR only you can print 1, 4, 9 or 20 codes per page, which is handy for table numbers, favors and stickers. To get a PDF, choose Save as PDF in the print window
- Copy image: paste the design straight into a message or another app
The fonts are embedded in your downloads, so they look exactly like the preview on any computer.
Undo and Saving
Use the Undo and Redo buttons (or Ctrl/Cmd+Z and Shift+Ctrl/Cmd+Z) to step back through your changes. Your design is saved in your browser as you work, so you'll find it where you left off next time you open the designer on the same device.
Printing Tips
- Size for the distance: a code should be about a tenth as wide as the distance it's scanned from. A table card read from 30 cm needs a code of at least 3 cm; a poster read from 2 m needs about 20 cm
- Matte paper avoids glare that can stop a phone from reading the code
- Keep the code darker than its background, and keep the margin around it
- Use a permanent link for anything you print in bulk, so you can reuse the cards at your next event
Frequently Asked Questions
Q: Is the QR Code & Sign Designer free? A: Yes. It's included with every Fotify plan, and there's no watermark on your downloads.
Q: Will a styled QR code still scan? A: Yes. The designer keeps the parts phones rely on intact and raises the error correction automatically when you add a logo or use sparse shapes like dots or hearts. The scan badge warns you about low contrast or a thin margin. Always test the printed design with a couple of phones.
Q: Can I use my own logo? A: Yes. Open Logo, choose Upload and pick a PNG, JPG or WebP image. A PNG with a transparent background looks best.
Q: Can I edit the design in Canva afterwards? A: Yes. Download it as SVG to keep it sharp at any size, or as a print-quality PNG, and import it into Canva or any design app. Choose QR only to download just the styled code and build the rest of the design yourself.
Q: How do I print table cards? A: Choose Table card under Size, then Download → 2 per sheet. Each card prints at its real 4 × 6 in size on A4 or Letter paper, with light cut lines around it.
Q: Can I make a PDF? A: Yes. Choose one of the print options under Download, then pick Save as PDF as the printer in the print window.
Q: What happens to my printed code if I change events? A: A code made from your event's own upload link only works for that event. Make it from a permanent link instead, and you can point the same printed cards at any future event.
Q: Is my design saved? A: Your latest design is saved in your browser on that device. It isn't stored in your Fotify account, so download a copy of anything you want to keep.
