Company Holiday Party Invitation Wording: 15 Examples + Digital Templates (2026)

Colleagues talking and laughing at a company event

The holiday party invitation is the one company email that has to get a reply. Not a read receipt, an actual answer: coming or not, with how many people, and whether anyone at the table cannot eat shellfish. Most invitations fail that test because they are written like an announcement and sent like a calendar hold.

Below are 15 invitation texts you can copy and adapt, grouped by the kind of party, followed by the details every version needs and the simplest way to send it with digital invitations that track RSVPs. Square brackets mark the parts you fill in.

What every company party invitation needs

Wording sets the tone. These five details decide whether the replies are usable.

  • An RSVP deadline, stated as a date. "Let us know soon" gets ignored. "Reply by Friday 5 December" gets answered, and it gives you a date to send a reminder.
  • The plus-one rule. Say whether partners are invited and, if so, that they count in the headcount. A separate question on the RSVP form ("Will you bring a guest?") is clearer than a line of text.
  • A dietary question. Not a request to email the organizer, an actual field on the reply form. Ask for a meal preference and show a follow-up field only when someone picks "special diet". That is how you avoid 40 "no restrictions" emails and one missed allergy.
  • Logistics people search for later. Address, parking or the nearest station, start and end times, dress code. Put them on the invitation itself and add a save-to-calendar button, so nobody has to dig the email out of their inbox on the night.
  • Who to contact. One name, one address.

Sending it digitally with RSVP tracking

A text in an email is still a text in an email: you collect the replies by hand and someone keeps the spreadsheet. The same wording on a company holiday party invitation built in Fotify does the counting for you:

  • One branded invitation with your logo and colours, the agenda, the dress code and directions, and a save-to-calendar button for Google, Apple and Outlook.
  • An RSVP form with plus-ones, meal preference and any custom question, with conditional follow-ups. Guests answer in their browser with no app and no account.
  • Email and SMS sending with a personal link per guest, or one registration link you post in the company chat. Reminders go out before the deadline you set.
  • A live photo wall at the party: one QR code on the tables, every colleague's photos on the screen, the whole gallery downloadable afterwards.
  • Check-in at the door from a phone: turn it on and each confirmed guest receives an entry QR code to scan on arrival.

You pay once per event rather than per guest; the pricing page has the plans. Branded photo collection for other company gatherings, from offsites to town halls, is covered on the corporate events page.

If you compare tools first

Two guides from this blog do the comparison work: the best digital invitation apps of 2026, which covers design quality, pricing and RSVP tracking across ten platforms, and the best RSVP apps for events, which looks specifically at plus-ones, custom questions and check-in. Whatever you pick, copy the wording from above, set a real deadline, and send it before the calendars fill up.
